Job description

Clover is now looking for a human resources administrator. The selected applicant will be in charge of maintaining and updating records and internal databases, as well as administering HR, Payroll, and Employee Benefits for the branch and business. This great position is housed in the Clover Clayville branch.

Requirements

Duties and Responsibilities

Process Emloyee Benefit Administration

  • Record all employee additions, modifications, terminations, and claims on service provider portals.
  • Verify records on supplier portals and maintain internal claims and other data up to date.
  • Send group plan claims, home loan applications, medical assistance withdrawals and membership changes, disability and death claims by email.
  • Capture deduction changes on payroll and guarantee that employer contributions and payroll deductions are completed correctly and on schedule.
  • Assist with essential communication and administration to guarantee the effective resolution of any employee inquiries.
  • Assist with conversion processing, administration, and staff communication related to pensioners’ payroll.
  • Assist in distributing and collating messages and documents to and from branch HR departments.
  • Assist in the preparation and preservation of records, reports, and paperwork in compliance with legal obligations, such as POPIA and the Pensions Act.

Process Payroll Input

  • Input information into the payroll system for each branch and third party.
  • Perform computations based on the input received and save it in the system.
  • Ensure the master data integrity and correctness of payroll data/records (both electronic and manual).
  • Control input by verifying mock payslips for correctness, correcting as needed, and processing in payroll.
  • Assist with the necessary communication and assistance to guarantee the effective settlement of all payroll queries.
  • Provide branch assistance and help employees and HR users with payroll and system-related inquiries.
  • Assist with the packing and delivery of monthly employee paychecks and other branch documents.

Provide HR Systems Support

  • Provide first-line assistance for all regional HR system users (budget, performance management, etc.).
  • Offer first-line HR system assistance to all branch Manager Self Service (MSS) and ESS system customers.
  • Provide comprehensive support and backup for all HR System functionalities.
  • Perform troubleshooting and system problem fixing.
  • Resolve or escalate all system user inquiries, and end Jira Service Desk calls.

Provide HR Administration Support

  • Assist the Branch HR Administrator with administrative tasks related to employee engagement, modifications, and terminations.
  • Assist in administering the national personnel budget process and managing any branch budget modifications.
  • Provide general HR administration and reporting assistance as needed by the team.
  • Prepare presentations and ad hoc reports on request.
  • Provide correct management information as requested.

Support Internal and External Audit Processes

  • Conduct system and payroll data audits (electronic and personnel files) to guarantee personnel Master data integrity.
  • Collect, verify, track, and send feedback to branches on all monthly audits.
  • Support the payroll, HR, and systems departments with yearly payroll procedures (external auditors).

Provide General Administrative Support

  • Assist with policy development and publication, as well as stakeholder outreach.
  • Prepare and deliver medical aid cards and bags to members.
  • Fill in for all Benefit, HR Admin, and Payroll team members as needed.
  • Prepare presentations and ad hoc reports on request.
  • Provide correct management information as requested.
  • Assist management with travel and meeting plans.
  • Provide general administrative help for projects and ad hoc requests.
