Job Description

Duties

  • To provide secretarial support to the Component Head’s office.
  • Organize and prepare meetings, agendas, typing, and minutes.
  • Answer and screen all incoming calls to the Component Head’s office.
  • Liaise with other Components and Sections on Component Head’s office topics.
  • Maintain a good record-keeping, filling, and forwarding system.
  • Handle sensitive documents.
  • Process and submit claims, as well as make travel and lodging arrangements.
  • Manage the diary both manually and electronically, as well as receive and host office guests.
  • Use standard equipment (fax, photocopier, phone, and computer).
  • Refresh visitors and attendees during meetings.
  • Oversee office inventory.

Requirements

  • Applicants must be capable of performing post-specific core functions.
  • Have a Senior Certificate or National Certificate (Vocational) on NQF level 4 documented on the National Learner Record Database.
  • You must be fluent in at least two official languages, one of which must be English.
  • You must be a South African citizen.
  • No criminal record or pending criminal/departmental cases are permitted.
  • A degree or diploma in administration would be advantageous.
  • Applicants will go through a vetting process that includes security screening and fingerprint verification.
  • Relevant courses in the field of the post will be advantageous, as will a valid driver’s license for at least a light motor vehicle.
  • Be willing to work under duress and for extended periods of time.
